Job Description

As an Administrative Assistant, you will play a crucial role in supporting daily operations and maintaining a smooth workflow within our company. Your administrative skills and attention to detail will be essential in ensuring that tasks are completed efficiently and effectively. You will work closely with the management team and other departments to assist in various administrative tasks and support the overall success of our organization.



Job Duties & Responsibilities



  • Answer and direct phone calls, take messages, and respond to inquiries in a professional and timely manner.
  • Proactively manage the calendars of management and schedule appointments, meetings, and conferences.
  • Organize and maintain files and records, both physical and electronic, ensuring accuracy and confidentiality.
  • Coordinate and arrange travel accommodations, including flights, transportation, and lodging, for company executives and employees.
  • Assist in the preparation and distribution of reports, presentations, and other documents.
  • Manage office supplies inventory and order necessary items as needed.
  • Coordinate and plan company events and functions.
  • Provide general administrative support to all departments, including copying, mailing, and data entry.
  • Work with accounting department to process invoices and keep track of expenses.
  • Act as a point of contact for clients, vendors, and employees, providing exceptional customer service at all times.
  • Take on additional tasks and responsibilities as assigned by management.

Additional Requirements:

- Proven experience as an administrative assistant or in a similar role

- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)

- Excellent written and verbal communication skills

- Strong organizational and time-management skills

- Ability to multitask and prioritize tasks effectively

- Attention to detail and problem-solving skills

- High school diploma additional qualifications as an Administrative Assistant or Secretary will be a plus
